Pending final business confirmation: the legal service-provider identity and address, VAT treatment, subscription and cancellation arrangements must be confirmed before these terms are used to enter into a live service agreement.
Who these terms are for
These terms cover Maara’s AI receptionist, call-handling, appointment-booking and related communications service for business customers. You must have authority to enter into an agreement for the business you represent. A demonstration does not activate a subscription or transfer your telephone number.
Your service agreement
Before activation, we will provide a written order identifying the service provider and customer, subscribed features, start date, charges, taxes, usage allowances, payment schedule, subscription term and cancellation arrangements. Service-specific terms in that agreed order take precedence over these general terms where they conflict. A data processing agreement governs processing carried out on your behalf.
Onboarding and activation
You provide and approve your business details, services, prices, opening hours, booking rules, escalation instructions and authorised contacts. You authorise any calendar connection and arrange forwarding with your telephone provider. The configuration must be tested before live calls are forwarded. Setup time depends on complete information, provider availability and successful integration checks.
What the service does
Depending on the agreed configuration, Maara answers forwarded calls, responds using approved business information, checks connected calendar availability, creates appointments, takes messages and sends transactional notifications. Features require the relevant integrations to be connected and operational. Maara is automated software; it is not a human receptionist.
AI limitations and human oversight
Automated systems can misunderstand speech, interpret instructions incorrectly or produce inaccurate responses. Review your setup and service outcomes, correct errors promptly, and maintain a human contact and fallback process. Maara does not guarantee every call will be answered or that every enquiry will become a booking. Do not rely on it for emergency response or professional medical, legal or financial advice.
Bookings and customer communications
You remain responsible for the services offered to callers, appointment capacity, calendar accuracy, business-specific cancellation rules and resolving booking disputes. Calendar permissions, availability rules and provider outages can affect bookings. SMS delivery depends on a valid destination, supported numbers and telecommunications providers. A sent notification is not proof that the recipient has read it.
Your responsibilities
Keep your information current, protect account credentials, restrict access to authorised staff and tell us promptly about suspected misuse. You must have permission to supply website content and other materials, connect accounts and process caller information. Provide appropriate caller notices and a lawful basis for processing. Do not instruct the assistant to invent prices, availability or guarantees.
Acceptable use
Do not use Maara for fraud, impersonation, harassment, unlawful marketing, unauthorised surveillance or attempts to bypass security. Do not collect passwords, payment-card security codes or authentication credentials through the assistant. Do not configure collection of sensitive personal information unless a suitable use case and safeguards have been explicitly agreed. Do not interfere with the service or other customers.
Fees, usage and taxes
The advertised starting price does not define your complete subscription. Your written order must state the applicable price, VAT treatment, included minutes or messages, setup charges, overage rates and payment dates before you agree. Your telephone provider may charge separately for forwarding. Additional paid services and material pricing changes require notice and agreement under your order; this page does not authorise an unspecified charge.
Renewal, cancellation and refunds
Your order must specify whether the service renews, its minimum term, cancellation notice and when cancellation takes effect. Send cancellation requests to maarareceptionist@gmail.com using your business account details and request acknowledgement. The treatment of prepaid fees, unused allowances and any refund entitlement must be set out in the agreed order. Nothing in these terms removes a refund or other right that cannot lawfully be excluded.
Availability, maintenance and support
The service depends on hosting, voice, telephone, messaging and calendar providers. Interruptions may occur during maintenance, faults or external outages. No uptime commitment or response-time guarantee applies unless stated in your order. Personal information and confidentiality
The customer normally acts as controller for caller information processed on its instructions; Maara acts as processor for that activity. A separate data processing agreement must address instructions, confidentiality, security, subprocessors, assistance with rights requests, incidents and return or deletion. Maara also processes account and operational information for its own purposes as described in the Privacy page. Each party must protect the other’s confidential information and share it only where authorised or legally required.
Ownership and permitted use
You retain rights to materials you supply and grant permission to use them to provide the agreed service. Maara and its licensors retain rights in the software and service. Your access is limited to the subscription and authorised business purposes. Do not copy, resell or grant third-party access to the service except as agreed in writing.
Suspension and ending service
Access may need to be restricted to address unlawful use, a material security risk or material breach of the agreement. Where practicable, we will explain the issue and allow a reasonable opportunity to remedy it. Non-payment and termination procedures must follow the agreed order and applicable law. When service ends, arrange removal of call forwarding, disconnect integrations as appropriate and agree return or deletion of data under the data processing agreement.
Responsibility and disputes
Each party remains responsible for its own obligations and conduct. Nothing excludes liability for fraud, death or personal injury caused by negligence, or any liability that cannot legally be excluded. Any agreed financial liability limit and allocation of business losses must be set out in your written order. Raise concerns promptly with maarareceptionist@gmail.com so they can be investigated. The contracting entity, governing law and dispute forum must be identified in the final agreement.
Changes and contact
The applicable terms version should be supplied with your order and retained with your acceptance. Material changes to an existing agreement will be communicated before they take effect, with any required consent or contractual cancellation options.
